Privacy policy

In short: we collect the information needed to credential you with insurers, we share it only with the insurers and enrollment systems you ask us to apply to and with the services that help us run the business, and we never sell it.

This policy explains how SSG LLC, doing business as Credentialers ("Credentialers", "we", "us") handles information when you visit credentialers.com or use our credentialing and insurer enrollment services. If you have questions, email hello@credentialers.com.

01Information we collect

Intake details: your name, email, phone number, provider type, state, practice size and the insurers you want.
Credentialing documents: professional licenses, NPI, DEA registration, board certifications, malpractice insurance certificates, CV and work history, education and training records, W-9 and Tax ID, and your Social Security number and date of birth where an application requires them.
Account logins you give us: such as CAQH, PECOS, state Medicaid and insurer portal credentials, used only to complete and maintain your applications.
Messages: emails and notes from calls with you or with insurers about your file.
Payment details: handled by our payment processor. We do not store full card numbers.
Website data: basic analytics such as pages visited, device and browser type, and how you found the site, collected through cookies or similar tools.

We do not need, and ask you not to send, any patient information. Our service concerns you as a provider, not your patients.

02How we use it

To prepare, submit and follow up on your credentialing and enrollment applications.
To keep your profiles current if you choose upkeep, including CAQH re-attestation and renewals.
To send you status updates and answer your questions.
To bill you for our services.
To improve our website and service, using aggregated or de-identified data where possible.
To meet legal obligations and protect our rights.

03Who we share it with

Insurers and enrollment systems you choose: such as Medicare (through PECOS), your state's Medicaid program, CAQH and private insurers. Sharing with them is the purpose of the service and happens at your direction.
Service providers: companies that host our files, send email, process payments and provide analytics. They may use your information only to provide services to us.
Specialists working on your file: credentialing specialists working for us under confidentiality obligations.
Legal reasons: when required by law, or to protect the rights, safety or property of you, us or others.
Business transfer: if Credentialers is sold or merged, your information may transfer to the new owner under this policy.

We do not sell your personal information and do not share it for advertising.

04How we protect it

Documents are collected through an encrypted upload and stored in encrypted storage. Logins are kept in a password manager. Access is limited to the people working on your file. No method of storage or transmission is completely secure, but we work to protect your information and will tell you promptly if a breach affects it.

05How long we keep it

We keep your information while we are working for you and for up to [3] years afterwards, so we can answer questions about past applications and meet legal and tax obligations. You can ask us to delete it sooner, unless we are required to keep it.

06Your choices and rights

Ask for a copy of the information we hold about you.
Ask us to correct or delete it.
Withdraw your authorization for us to act with insurers on your behalf at any time.
Unsubscribe from non-essential emails using the link in them.

Depending on your state, you may have additional rights under laws such as the California Consumer Privacy Act. To use any of these rights, email hello@credentialers.com. We will not treat you differently for doing so.

07Cookies

We use a small number of cookies to keep the website working and to understand how it is used. You can block cookies in your browser settings; the site will still work.

08Children

Our services are for licensed healthcare professionals. We do not knowingly collect information from anyone under 18.

09Changes to this policy

If we change this policy, we will update the date at the top. If a change is significant, we will tell current clients by email before it takes effect.
